Integrating QuickBooks Online

QuickBooks Online is an ERP and accounting software that integrates with Syncware. The following workflows are support for this integration:

  • Orders/Shipments
  • Inventory
  • Products
  • Payments
  • Estimates
  • Invoices
  • Sales Receipts
  • Customers

To integrate QuickBooks Online with your Syncware account, you'll need to

  1. Add QuickBooks Online
  2. Connect your QuickBooks Online account
  3. Map your workflows
  4. Configure your settings

Add QuickBooks Online

  1. From the navigation menu, select Integrations.
  2. On the Integrations page, click ADD INTEGRATION.
  3. On the Integrations List page, search QuickBooks Online, and click ADD.
  4. You will be presented with the applicable fees for the integration. To proceed, click REVIEW.
  5. You will be presented with a summary of the fees that will be billed to you. If you approve, click APPROVE.

Result

QuickBooks Online will be added to your Syncware account as an integration.


Connect your QuickBooks Online account

  1. From the navigation menu, select Integrations.
  2. On the Integrations page, QuickBooks Online will be displayed as an integration with action buttons to the right, click Configure.
  3. On the Configure Integration page, click Connect. This will take you to your QuickBooks Online account where you will sign in and complete the instructions listed.

Result

Your QuickBooks Online integration will be connected to Syncware.


Map your workflows

Before you begin, ensure you've reviewed the instructional video for building your workflow with Sync Builder.

  1. From the navigation menu, select Integrations > Sync Builder.
  2. On the Sync Builder page, QuickBooks Online will be displayed in the Integrations and Actions menu to the left. Use the arrow to display the QuickBooks Online available actions.

While you can customize your workflow in many ways, the following QuickBooks Online actions are available for use

* Denotes mandatory actions for your QuickBooks Online integration.

  1. From the menu, click and drag the actions that you would like to add to the workspace on the right.
  2. Once you have added the actions for your workflow, click SAVE.

Result

Your QuickBooks Online actions are ready to be configured and verified.


Configure your settings

  1. From the navigation menu select Integrations.
  2. Click the Configure button to the right of your QuickBooks Online integration.
  3. On the Configure Integration page, select the integration fields that you would like configured and input the required information.

While you can configure and customize your integration in many ways, our customers use the following fields most often:

Field Name Field Guide Suggestion
Add New Customers Toggle "ON" so new customers will be created if a match is not found on order export.
Default Class Enter the class to be applied to all order exports.
Default Currency Enter the default Home Currency code (USD, CAD, EUR) to be applied to all order exports.
Default Customer Message Enter a message to be sent to customers on all order exports.
Default Department Enter the department that will be applied to all order exports.
Default Income Account Enter the Income Account that will be used on all invoices for orders exported.
Default Terms Enter the terms that will be applied to all orders exported.
Discount SKU Enter SKUs you have set up for discounts.
Sales Tax Code Enter the tax code to be applied when exporting orders.
Shipping SKU Enter the shipping SKU used to add shipping costs to the order for imports and exports.
Taxable Orders Enter "Tax" for taxable orders or "NON" for non-taxable orders for export.
  1. Click SAVE in the top right corner of the page once complete.

Result

Your QuickBooks Online settings have been configured.
